Position Summary
AFairchild LLC is growing rapidly and is seeking a proactive and organized Front Desk Administrative Assistant to join our team. In this role, you will be the face of the company, responsible for managing front desk operations while providing essential administrative support across multiple departments. The ideal candidate will have strong organizational skills, the ability to multitask in a fast-paced environment, and a friendly, professional demeanor.
Key Responsibilities
- Assist CFO in processing expense reports and invoices-following up with employees for additional details or documentation, as needed
- Scheduling appointments for management staff
- Assist Office Manager and other administrative staff (Tax Admin, Billing Manager and CAS Admin) with any daily functions or special requests (e.g., administrative work, mailings, daily lunch presentation)
- Answering phones, meeting and greeting visitors, assisting clients, conference room set up
- Liaise with property agents/landlord regarding overall maintenance of the building
- Undertake a variety of routine administrative duties to support the team and department, using a variety of software packages (i.e., Microsoft Office, CCH Axcess, Quickbooks, etc.)
- Order Business Cards and letterhead, assist with marketing
- Process daily ACH and company accounts payable into QB
- Maintain calendars, exercising judgment & tact in coordinating meetings, and making appointments for the Firm – this will involve prioritizing & sorting mail, highlighting & attaching relevant information, and preparing responses and/or obtaining information for responses from other staff (as needed)
- Support Accounting team on projects as needed – filing and additional admin support.
- Sends and receives faxes.
- Reviews all outgoing invoices to clients for accuracy and verification
- Process daily mail and faxes, both incoming and outgoing
- Deal with a diverse group of visitors, internal contacts at all levels of the organization
Qualifications
- Previous experience supporting multiple leaders preferred
- Ability to work in a fast-paced environment including managing across multiple departments
- Friendly, responsible, reliable, and dependable
- Motivated self-starter, adaptable, and a team-player
- Organized with good time management skills to complete tasks on time
- Ability to handle sensitive information and maintain high level of confidentiality
- Experience in bookkeeping or accounting is a plus
- Experience with Wolters Kluwer CCH Axcess suite of programs is preferre,d but not required.
- Experience with excel, document and the Microsoft Office Suite of products preferred
- Willing to work in a Hybrid environment that requires to be on site 4 days a week
