Responsibilities:
The Tax Administrator is responsible for providing administrative support to the Tax Department. The role involves managing various tasks related to tax document processing, client communication, and internal procedures. Key responsibilities include:
Tax Return Management:
- Assembly, processing, and delivery of tax documents (paper and Efile).
- Organize, scan, and process tax-related paperwork efficiently.
- Perform electronic document scanning and ensure proper archiving.
- Send Client Invoice and Tax Summary to client.
- Manage the scan and autoflow process for client documents used by tax preparers.
- Manage the mail for incoming client documents that has to be scanned and logged.
- Greet clients and review tax documents from clients who visit the office and drop off documents.
- Update CCH Axcess tax projects to ensure a streamlined process for the tax department.
- File documents for Tax Staff.
- Assist Tax Staff with appointments.
Client Communication:
- Send Client Engagement letters via DocuSign or Adobe.
- Send Client Tax Authorization forms via DocuSign or Adobe.
- Manage responses from clients regarding tax filing, tax status and ensuring timely and effective communication.
- Field all client communication regarding tax invoices, signing process, and other tax related questions as needed.
- Manage Admin mailbox for incoming client files to the portal, signed documents, and tax rejections, acceptance and extensions.
- Contribute to client satisfaction by addressing client needs and concerns, fostering long-term working relationships.
Document Storage and Logistics:
- Oversee client document storage and maintain log sheets for tax document workpaper return.
- Process adjusting journal entries (AJEs), including printing TB and AJE reports, and delivering them to clients or accountants.
Correspondence and Mailings:
- Log and manage IRS correspondence as necessary.
Administrative Support:
- Assist with various administrative tasks, including preparing and managing lunch for staff when required.
- Provide support to the Chief Financial Officer (CFO) as needed.
- Serve as a backup to the Front Desk Administrator and Billing Manager when required.
Qualifications:
The ideal candidate for the Tax Administrator position should possess the following qualifications:
- Independence and Confidentiality: Ability to work independently and handle sensitive information with confidentiality.
- Software Proficiency: Experience with Wolters Kluwer CCH Axcess suite of programs, or similar tax software, is preferred but not required. Experience with excel, document and the Microsoft Office Suite of products preferred.
- Deadline-Oriented: Comfortable working in a fast-paced, deadline-driven environment, particularly during tax season.
- Tax Experience: 1-3 years of experience in tax-related roles, especially during tax season, is preferred but not required.
- Effective Communication: Strong interpersonal skills to collaborate with individuals at all levels within the organization.
